Department Summary

The Division of Student Services and Enrollment Management advances the University of Oregon's tradition of excellence by enrolling and retaining high-achieving scholars from Oregon, across the country, and around the world. We work on behalf of prospective students, current students, and their families through each phase of the enrollment process: the college search, admission, registration, financial aid, matriculation, transition, and onward to graduation.

The Office of the Registrar is responsible for academic and classroom scheduling, student registration, enrollment verification, grading and academic records maintenance, transfer credit articulation, degree audits, core general education requirements, degree awarding, student data/statistical analysis, veterans benefits, FERPA compliance, and transcript services. These responsibilities, assignments, and services are completed within institutional policies and standards as well as related state and federal laws and regulations.

Position Summary

The Assistant Registrar for Statistical Reporting and Analysis will have a broad range of responsibilities that include completing various enrollment and data reports required by federal, state, and institutional bodies, and submitting them by the specified deadlines. These reports may include the 4th-week Profile of Students, the Student Centralized Administrative Reporting File for the Higher Education Coordinating Commission (HECC), the National Collegiate Athletics Association (NCAA) graduation rates reports, and data files for the University of Oregon Office of Institutional Research.

In addition to report generation, the Assistant Registrar will be responsible for evaluating current database and statistical computing processes and designing new ones to track student enrollment efficiently and implement office business practices. They will work with Information Services (IS) staff to import jobs or data into the Banner system and advise on the design of enhancements to the Integrated Data Reporting (IDR) system.

The Assistant Registrar will also assist faculty and staff in designing and processing institutional, departmental, or individual ad hoc reporting requests, using either the Banner Oracle tables or the IDR. This includes error reports, degree and commencement reports, scheduling reports, registration priority files, and lists. They will be responsible for ensuring that all requests for non-directory information from outside the university comply with the Family Education Rights and Privacy Act (FERPA), the University of Oregon, and department policies.

Furthermore, the Assistant Registrar will be involved in the development and analysis of institutional, curricular, and student data. They will also provide assistance to support staff in resolving problems with software/programs in the daily maintenance of the Banner Student Information System and direct staff responses to requests for information from the Banner Student Information System.

The Assistant Registrar will be responsible for implementing University and departmental system and records security policies as a Banner system security officer, assisting with granting access to Banner Student module security classes, and reviewing and updating security class membership.

As a member of the Office of the Registrar management team, the Assistant Registrar will support, direct, and guide office operations and classified staff. They will engage in professional development activities and study to improve managerial and research and analysis skills. Finally, the Assistant Registrar will provide support and training for software and assistance in resolving problems using Banner and the IDR.

Hybrid, Remote Eligible: This position is based in Eugene with some level of flexibility including the option to work on-site, hybrid, or fully remote. All adjusted work arrangements require supervisor and leadership approval.

Minimum Requirements

• Bachelor’s degree.
• Experience with large relational databases and SQL.
• Experience using a programming language.
• Experience with report writing.
• Experience working with confidential data.

• Proficiency in Microsoft applications (such as Excel and Word).
• Demonstrated ability to communicate effectively including in writing.

• Three years working with student data.
• Experience using Python and VBA.
• Experience with Oracle.

• Experience producing reports for state or federal agencies.
