Position Summary 

Academic Records Specialist: 

Academic Records Specialists are responsible for the maintenance of student academic records in University systems, including: admissions processing; reviewing and critically analyzing transfer credits; processing adjustments, substitutions, waivers and registration changes; graduation checks; and degree review and posting, all within in accordance of University policy. Responsible for collecting, recording, maintaining, and reporting of student records within FERPA guidelines. 

 

 

Position Specific Accountabilities 

 

1.       Create and maintain student academic records (from admission to degree completion) utilizing a variety of electronic management systems. Perform updates and process adjustments in accordance with University policy. Ensures accuracy of student academic record.  

2.       Maintain knowledge of university and office policy and procedures so that accurate information is always communicated.  

3.       Maintain knowledge of system programs. 

4.       Compose correspondence regarding student registration, academic records and graduation records. 

5.       Provide quality customer service in a timely fashion.   

6.       Other duties as assigned by the University Registrar, Associate Registrar or Assistant Registrar. Other duties include staffing convocation and commencement and their related activities and events. 

  

Required Skills, Knowledge and Abilities: 
 

·         Exemplary communication skills (both written and oral). Work effectively with all levels of the University organization and diverse populations, maintaining a friendly, courteous, fair, and yet firm disposition.  

·         Ability to creatively and logically to solve problems and multi-task effectively.  

·         Use good judgment in interpreting the rules, regulations, procedures, and policies of the University (which vary with each college) for the students and faculty, referring exceptions to the proper person for appropriate action.  

·         Demonstrated data management skills and related reporting capabilities; and strong analytical skills.  

·         With minimal supervision, perform academic record functions involving independent judgment and requiring accuracy. Stay informed on academic policies and regulations, as well as changes in office procedures.  

·         Proficiency with computers, Microsoft Office, and student information systems; Strong organizational skills with the ability to simultaneously manage multiple projects in a fast-paced environment while consistently meeting deadlines. 

·         Exceptional attention to detail and accuracy.  

·         Maintain confidences and confidential information. 

 

Preferred Skills, Knowledge and Abilities: 
 

·         Strong preference for proficiency in Banner.  

·         Ability to provide excellent customer service.  

·         Strong technical skills. 

 

Education and Experience: 

      

·         Typically a Bachelor’s Degree or equivalent combination of education and experience.  Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.  

·         Minimum 1 year of relevant experience in the areas of registrar/academic records/student systems preferable in an academic community.
