REPORTING RELATIONSHIPS

Position Reports to: Director of Academic Administration

Positions Supervised: Assistant Registrars, Student Record Specialist

POSITION PURPOSE

Responsible for the accuracy, integrity, and confidentiality of all student-related data in database management systems and official student records. The Registrar is responsible for implementing academic policy as it pertains to student registration, academic records, evaluation of transfer credits, audits of the student record for degree eligibility, the proctor process, and external reporting and compliance. The Registrar should positively represent the University at all times.  

POSITION DETAILS

Hybrid Position - Required to work on campus 2 - 3 days each week. 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  1. Curricula and Scheduling
    1. Facilitates course scheduling with Program Directors in conjunction with approved curricula. 
    2. Maintain Academic Calendar for University and coordinate all classroom scheduling.
    3. Coordinate scheduling of on-site dates for limited-residency programs with Program Directors. Ensure classrooms, labs, offices, and other resources are reserved as needed.  
  1. Graduation and Commencement
  1. Conduct and coordinate degree audit and related processes for tri-annual graduation (student degree conferral).
  2. Oversee printing of diplomas and ensure those are sent to graduates upon degree conferral. 
  3. Coordinate Commencement Ceremonies in conjunction with University Marketing & Communications and other departments, including regalia, venue, and logistics for attendees.
  1. Policies and Procedures
  1. Develop and review policy and procedures on registrar functions, student records, and academic progress. 
  2. Responsible for ensuring all Registrar’s Office processes are consistent with university policy and other regulatory requirements. 
  3. Serves as a resource to other departments and programs providing information and guidance on student issues and processes managed by the Registrar’s Office. 
  1. Publications
  1. Maintain and update Academic Calendar, as well as Registrar-related components of University Handbook, on an annual basis. 
  2. Responsible for accuracy of academic forms and other information posted to the Registrar section of the University website. 
  1. Governance and Regulatory Responsibilities
    1. Serve on the Committee on Inclusiveness which is responsible for “oversight of implementing federal and state laws and regulations governing equal access/opportunity.” Coordinate approved accommodations with necessary parties.
    2. Ensure University compliance with FERPA regulations, and oversee University training on FERPA policies and procedures.
    3. Serves on other university committees representing the Registrar’s Office, as requested. 
  1. Student Records and Student Information System
    1. Responsible for collection, recording, maintaining and reporting student records within FERPA guidelines.
    2. Maintain accurate student- and alumni-related data including contact information and grades. 
    3. Enter and update student-related data in a timely manner, including following up with faculty to acquire grades, transferring final grades posted in LMS into the Student Information System, and following up on “Incomplete” and “In Progress” grades. 
    4. Coordinate with Admissions and other departments to reconcile new starts and re-entries at the beginning of each semester. 
    5. Oversee transcript and other student record-related requests.  
    6. Direct and manage student registration and class scheduling.
    7. Track and communicate student enrollment status (continuous enrollment requirements, withdrawals). 
    8. Track and communicate student activity in online courses, processing administrative withdrawals for non-participation as necessary. 
    9. Assist in monitoring student academic progress; work with PD(s) when a student is at risk and/or must be placed on Academic Probation.
    10. Coordinate, with PDs and Deans, when students are dismissed for academic or behavioral reasons. 
    11. Collaborate with administrators, faculty, and advisors to facilitate and improve services to students. 
    12. Compile information and facilitation processing of appeals and other student requests received and managed by the Registrar’s Office
    13. Monitor student academic engagement, rate of progression towards completion requirements, and satisfactory academic progress.
    14. Coordinate communication about concerns between/among students, faculty and/or PD(s) relative to academic progress/status, policies/procedures, and special requests (e.g. course re-takes, transfer credit requests, grade appeals, part-time requests, etc.). 
    15. Communicate and coordinate with faculty, proctoring services, and students regarding assessment integrity and procedures. 
  1. Supervisory Duties
    1. Supervise and evaluate other employees in the Registrar’s Office.
  1. Other Functions and Responsibilities
    1. Perform other duties related to general office and University functions as directed. 
    2. Assist with other office needs and projects of the Director of Academic Administration, VP of Academic Administration and EVPAA/Provost.

WORKING REQUIREMENTS/CONDITIONS

Education/Certification:

Master’s degree strongly preferred.

Bachelor’s degree required.

Required Knowledge:

 

Experience Required:

Three to five years’ experience in increasing University administrative experience (preferably in Registrar’s Office) required.

Experience with student database management or other database management is preferred.

Skills/Abilities:

Information management skills.

Superior written, verbal, and interpersonal communication skills.

Detail-oriented organizational and management skills are required for this service-oriented position.
