Brief Description
The Registrar Business Process Analyst is responsible for providing overall functional support for the Student Records module, and is an expert who understands the business processes and functional needs of one or more system modules and configurations, regular use, and data structures of the assigned PeopleSoft module; Student Records. The incumbent serves as a campus Subject Matter Expert (SME) for the CSU’s Common Management System (CMS), the CSU version of PeopleSoft’s Campus Solutions product. The incumbent acts as an interface between Information Resources & Technology (IRT) and the functional area, providing module configuration, testing coordination and support, escalating technical issues and change requests as needed.

Under the general direction, the Registrar Business Process Analyst is responsible for providing overall functional support for the Student Records module. The Registrar Business Process Analyst is an expert who understands the business processes and functional needs of one or more system modules and configurations, regular use, and data structures of the assigned PeopleSoft module; Student Records. The position serves as a campus Subject Matter Expert (SME) for the CSU’s Common Management System (CMS), the CSU version of PeopleSoft’s Campus Solutions product.

The incumbent acts as an interface between Information Resources & Technology (IRT) and the functional area, providing module configuration, testing coordination and support, escalating technical issues and change requests as needed.

Minimum Qualifications 

To enter this classification, a basic foundation of knowledge and skills in technical information systems and application program packages is a prerequisite. This foundation would normally be obtained through a bachelor’s degree in computer science, information systems, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study. Foundation knowledge and skills for the Information Technology Consultant, depending on the nature of the position assignment, may include working knowledge of common software application packages, equipment platforms, reference database systems and sources, and training methods and a basic understanding of networks, data communication, and multimedia systems.

Further progress within this classification is based on department need and work assignments requiring higher levels of skills and knowledge. Reference the Information Technology Series Introduction for level definitions.

Required Qualifications 

Experience

  1. Bachelor’s degree in business or related field from an accredited university.
  2. Demonstrated ability to analyze and evaluate situations and data, make accurate recommendations on appropriate courses of action, leading to the development and improvement of administrative systems, procedures, and practices.
  3. Experience in one of the following functional areas: Admissions, Records, Registration, Financial Aid, Academic Advising, Veteran's Affairs, or related student service functions in a college or university setting.

Knowledge/Skills/Abilities:

  1. Experience independently researching and resolving problems.
  2. Experience and expertise in translating data and requirements into a coherent visual model of the business system or workflow process to bring clarity and unity among stakeholders, reveal bottlenecks that impede performance.
  3. Experience presenting ideas and concepts in written or presentation format and use consultative and facilitation sills to gain consensus.
  4. General knowledge of the principles, practices and trends in the Student Services field.
  5. Ability to gather data and analyze complex situations accurately and adopt or recommend an effective course of action or improved business process.
  6. Ability to carry out a variety of professionally complex assignments, exercising sound judgment when necessary.
  7. Ability to establish and maintain cooperative working relationships with a various stakeholders.
  8. Exceptional communication skills in person, on telephone, via email or web chat; ability to maintain composure and professionalism.
  9. Ability to effectively interact with a diverse population of students, faculty, staff and the general public.
  10. Working knowledge of Microsoft Office tools (Word, Excel, PowerPoint, Visio, and Outlook).

Preferred Qualifications 

  1. Master's Degree in higher education, business, or related field.
  2. Thorough knowledge of university policies and procedures, including Admissions, Records and Registration, Student Accounts, and Financial Aid.
  3. Thorough knowledge of federal, state and CSU System regulations, office policies and university standards.
  4. Experience with gathering, compiling and analyzing data from a multitude of databases.
  5. Knowledge of Common Management System (CMS), Data Warehouse, and/or Imaging software.
