Stanford University has an immediate opening for a full-time Degree Progress Specialist in the Office of the University Registrar, a unit within Student and Academic Services (SAS). SAS is an energetic organization that supports the policies, practices, and systems used by (and to support) Stanford students, faculty, and staff. This position will manage the operational functions of the Degree Progress team in areas surrounding student statuses, communication management, training material documentation organization, and quarterly business processes. The Degree Progress team is looking for an individual with outstanding organizational skills, who will help improve efficiency and effectiveness in a high volume and fast paced environment.

About Degree Progress

We seek candidates who can support the vision and work of Degree Progress, as well as the mission and values of Student Affairs, outlined in Our Most Important Work. Degree Progress’ work predominantly falls within the ‘House in Order’ tenet, namely in how we work to build and maintain systems, policies, and processes that support and improve the experience of both students and staff in the Stanford community, but we also deeply value and consistently aim to incorporate ‘Equity and Inclusion,’ ‘Community and Belonging,’ and ‘Mental Health and Well-Being’ into the work we do. 

In this role, you will:

  • Manage the review and processing of a high volume of forms related to degree progress, program changes, special registration statuses, leaves and reinstatements.
  • Evaluate students for status eligibility; including auditing specific degree requirements, residency benchmarks, milestones, holds, GERs, and other University requirements.
  • Perform complex data entry and facilitate changes to student records.
  • Respond to support request inquiries submitted by staff and students quarterly as they relate to form processing.
  • Recommend and help implement reporting tools to assist with assessment efforts requested internally and by campus partners.
  • Support the maintenance and continued process improvements of forms (both electronic and PDF), including testing the implementation of changes.
  • Perform miscellaneous job-related duties as assigned.
  • Oversee the updates to internal documentation as policy or process changes occur across campus.
  • Upkeep and audit degree progress related outgoing communications sent to students and departments on campus in collaboration with other members of the degree progress team and partner offices.
  • Support in the development and maintenance of degree progress websites, forms, and training materials for external audiences. 
  • Evaluate degree progress functions as they relate to current or proposed business practices, implement changes as appropriate.
  • Assist the other Degree Progress team members with verification of student data to help facilitate batch processes and manual data clean up.
  • Routinely look for process improvement opportunities to assist in creating a better student experience.
  • Support the launch of the new Degree Audit system.
  • Perform miscellaneous job-related duties as assigned.

 

To be successful in this role, you will bring:

  • A bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.
  • Ability to develop strong relationships with constituents in a warm and professional manner.
  • Creativity, resourcefulness, initiative, discernment, and a high degree of motivation.
  • Knowledge and embodiment of diversity and inclusion best practices. Ability to work collaboratively with individuals and groups from various identities, cultures, and backgrounds.

  • Excellent oral and written communication skills with the ability to information clearly and effectively.
  • Relevant experience with business systems and office applications.
  • Demonstrated knowledge of academic support and policy interpretation.
  • Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.
  • An extremely detail oriented approach and ability to organize large volumes of data. 
  • High level of energy, flexibility, and the ability to work independently. 

 

Working Conditions:  

  • May work extended or non-standard hours based on project or business needs.
  • Remote position that requires one to two designated days onsite.
