Job Details
Under the general guidance the University Registrar and the Associate Registrars the Enrollment Experience Coordinator (EEC) is responsible for coordination, planning, and integration of numerous variables that impact course registration, enrollment, and student service.  This includes collaboration with many high-profile administrators (e.g., Provost, Deans, Associate Deans, Academic Chairs, VPSA, AVP for EMSS) to bring together the information and resources needed to strategically plan and provide enrollment opportunities that meet student enrollment needs, offering the right courses, sections, and seats that eliminate enrollment bottlenecks and support students’ timely progress to degree.

The EEC participates as a member of the Enrollment Planning Team (EPT) responsible for identifying opportunities to remove administrative barriers from the enrollment process, reduce time to degree, increase student graduation rates, and provide an overall positive and SAC State Proud enrollment experience.  The EEC is expected to take a leadership role in coordinating the collective work of the stake holders on the EPT.  As a member of this team, the EEC is responsible for implementing the programs (e.g. Hornet Launch), and related technologies and tools that support planning and decision-making and lead to a positive student enrollment experience. 

Work also includes providing lead work direction to several staff, analyzing enrollment policies and procedures, assisting administrators with enrollment management objectives, implementing student equity enrollment processes, and coordinating enrollment projects.  The incumbent will also assist with other University Registrar processes and critical projects. 

The EEC will participate in strategic planning, serve on the student enrollment team, convene and chair an annual “Hornet Launch Team” to plan for future semester enrollment and course scheduling, identify capacity needs, and lead project teams.  

Minimum Qualifications 

Knowledge and Abilities:

The following knowledge and abilities as well as those listed at lower levels in the Student Services Professional series are required for appointment to this classification.

Thorough knowledge of the policies, procedures and practices of the program area to which assigned or the ability to quickly acquire such knowledge. General knowledge of the policies, practices and activities of Student Services programs outside the program to which immediately assigned; general knowledge of the principles, problems and methods of public administration, including organizational, personnel and fiscal management; general knowledge of advanced statistical and research methods.

Ability to carry out highly complex assignments without detailed instructions; advise students individually or in groups on varied and complex matters; determine the appropriate course of action and proper techniques to utilize while engaged with individuals and groups in personal interactions of a sensitive nature; reason logically and analyze and solve organizational and operating problems of one or several program areas; plan, coordinate and initiate actions necessary to implement administrative or group decisions or recommendations; analyze and define complex organizational, policy or procedural problems, collect and evaluate data, draw valid conclusions and predict consequences of various alternative courses of action; understand the roles and responsibilities of others and to gauge relationships accordingly by taking into account the variety of the interrelationships, motivations and goals of the members of the organization served; and establish and maintain effective, cooperative and harmonious working relationships in circumstances which involve the denial of requests or the necessity to persuade others to accept a different point of view.

Possession of these knowledge and abilities is typically demonstrated through the Experience requirements below.

Experience:

Possession of these knowledge and abilities is typically demonstrated through the equivalent to four years of progressively responsible professional student services work experience which includes experience in advising students individually and in groups, and in analysis and resolution of complex student services problems.

A master’s degree in Counseling, Clinical Psychology, Social Work or a job-related field may be substituted for one year of professional experience. A doctorate degree and the appropriate internship or clinical training in counseling, guidance or a job-related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.

Education:

Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job related.

Required Qualifications

  2. Exceptional interpersonal skills; including understanding the roles and responsibilities of others, gauging relationships accordingly, developing effective and harmonious working relationships in a diverse community, and maintaining composure and professionalism in stressful and often challenging situations.
  3. Exceptional time management, project management, and organizational skills.
  4. Experience preparing and delivering presentations for small and large groups consisting of students, staff, faculty, and/or administrators.
  5. Experience providing effective and in-depth advising to a widely diverse population in a public setting, for a wide range of situations and circumstances; individually as well as in small and large group settings.
  6. Demonstrated ability to serve in a leadership role.
  7. Experience providing lead work direction to plan, coordinate, and initiate actions necessary to implement administrative or group decisions or recommendations.
  8. Experience independently executing highly complex assignments; taking the initiative to seek information not known or readily available for purposes of resolving student issues and/or concerns.
  9. Experience analyzing and defining complex organizational, policy or procedural problems.
  10. Experience collecting and evaluating data, drawing valid conclusions, and predicting consequences of various alternative courses of action.
  11. Demonstrated ability to independently plan, coordinate and implement solutions, effectively prioritize workload, provide timely and thorough follow-up, and meet priority deadlines.
  12. Knowledge of cyclical student services areas process milestones; such as university registrar and registration timelines, financial aid deadlines, student financial services due dates, advising peaks, and curriculum cycles and deadlines.
Special Conditions of Employment:
Required to be appointed into the position and/or perform the duties of the position:
  • A background check must be satisfactorily completed post-conditional offer.
Preferred Qualifications 
  1. Master’s degree, or equivalent professional student services experience.
  2. Experience using a Customer Resource Management (CRM) system or possessing a general understanding of the CRM concepts.
  3. Experience using a Common Management System or Student Information System (such as PeopleSoft/ Oracle) and Imaging and/or Document Management Systems (such as OnBase).
  4. Advanced experiences in Microsoft Excel.
  5. Direct experience with student registration and scheduling.
  6. Understanding of Sacramento State program and degree requirements.
