Work Schedule:

FT; Monday-Friday, 8:00am-5:00pm, with some flexibility. Occasional evening and weekend work may be required.

General Description:

The Records Services Specialist provides high quality service as administrative support for the Registrar’s Office with an emphasis on end of term processes, verifications, and student record maintenance. This position also completes grade changes, coordinates document imaging, oversees student interns, maintains the office website, processes student withdrawal and reentry, and supports other key unit functions. Reports to the Registrar.

Essential Functions and Responsibilities:
  • Lead end of term record processing to ensure student registrations, grades, and course repeats are accurately recorded.
  • Fulfill enrollment and degree verification requests from current and former students. Work closely with the Systems Manager and Registrar on the verification process, including both automated and manual verifications.
  • Oversee grade change process including error corrections and incomplete/in-progress grade conversions. Respond to grade change requests and interact with faculty regarding policy, deadlines, and student record updates.
  • Coordinate office operational functions related to student interns including work schedules, projects, and employment, as well as responding to general front desk inquiries in the absence of student interns.
  • Maintain the Registrar’s Office website.
  • Coordinate office use of document imaging system. Responsible for effectively digitizing existing paper records and creating/ maintaining new records with consistency, accuracy, and completeness.
  • Process student withdrawal and reentry.
  • Responsible for monitoring and ordering office supplies.
  • Provide support for other Registrar’s Office responsibilities such as pass/fail, Curriculum Declarations, and non-matriculated student registration.
  • Serve as primary backup for all other records services functions.
  • Support the Office of the President in the execution of the PLU Commencement ceremony.
  • Perform other duties as assigned.

Required Qualifications:
  1. 2 years of job-related experience. Education may substitute for some experience.
  2. High School Diploma or GED.
  3. Finalist applicants must satisfactorily complete a pre-employment background check and declaration regarding sexual misconduct with references, subject to verification.
Preferred Qualifications:
  • Bachelor’s degree.
  • Professional experience in a university records/registration setting.
  • Professional experience with college level student records and administrative systems; strong preference for Banner experience.
