Job Details

Salary based on experience and qualifications:  $70,000

Degree Requirement:  Master's Degree from a regionally accredited college or university

Required Qualifications:  

  • Master's Degree from a regionally accredited college or university
  • 5 - 10 years' progressive experience in higher education enrollment services including experience in work related to the registrar and records functions
  • Experience with an Enterprise Resource Planning (ERP) system used to collect, store, manage, and interpret data from student records activities
  • Proficiency with organizing and reporting data using spreadsheets and databases
  • Knowledge of FERPA, transcript review/evaluation, and records management
  • Demonstrated ability to multi-task
  • Managerial/supervisory experience

Preferred Qualifications:

  • Experience with Ellucian Colleague
  • Data analysis including experience managing complex student records systems
  • Experience with one-stop enrollment services operations

Responsibilities:

1. Laws and Regulations

  • Develop policies and procedures for reviewing, updating and complying with all appropriate records and data laws;
  • Serve as the initial point-of-contact for FERPA requests and grievances; and
  • Review appropriate Higher Education Act reauthorizations, develop and implement policies and procedures to help keep the college community compliant and updated.

2. Enrollment Processes

  • Devise systems supporting students to matriculate and graduate from the college;
  • Manage systems and processes to facilitate the transfer of college credit to and from the college;
  • Prepare enrollment-related data and reports including headcount, end-of-semester student performance, and others as requested;
  • Represent the college as requested on matters related to student data, registration, and records to all external and internal constituencies;
  • Participate in enrollment management initiatives and programs;
  • Provide oversight to the college's study away (Study Abroad and National Student Exchange) programs; and
  • Provide direct service to students, faculty, and staff including disseminating information over the telephone, web, email, and in-person.

3. Records/Policies

  • Recommend academic and enrollment policies and enforce same as directed;
  • Review and update academic records and all publications containing those records;
  • Oversee the curriculum management process and publish an annual general catalog; and
  • Develop policies and procedures to facilitate student enrollment and faculty/staff records work (e.g., grading).

4. Administration

  • Provide general direction and guidance to all staff in the Registrar & Records Office;
  • Conduct annual performance reviews for all staff;
  • Engage in annual strategic planning to establish unit objectives, assess unit objectives, and develop educational programming to meet those objectives;
  • Maintain documentation of office procedures and processes;
  • Make recommendations on personnel matters including staff hires, staff disciplinary measures, and terminations;
  • Recommend and request resources needed to execute unit objectives.
  • Prepare and administer all budgets related to the Registrar & Records Office;
  • Prepare documents for the college's annual strategic planning and assessment activities;
  • Participate in the college's accreditation activities as needed; and
  • Other duties as assigned.
