Brief Description
The Academic Scheduler serves as the campus administrative lead for academic scheduling and the class registration process. This position builds the class schedule each term, schedules classrooms for academic use, and manages the configuration of the student information system for academic terms and courses at all student levels. The Academic Scheduler closely monitors and troubleshoots registration activity during registration periods and manages special registrations. Reports to the Registrar.

Job Details
Essential Functions and Responsibilities:
  • Initiate and administer the classroom scheduling process, including final exams, for academic spaces.
  • Assign classroom spaces based on department submission and the needs of the university.
  • Work closely with a variety of constituents including deans, department chairs, administrators, multimedia, facilities managers, programmers, and the registrar regarding issues related to class and classroom scheduling.
  • Maintain all academic terms, courses, sections, faculty, classrooms, dates, parts of term, and day/time information in Banner for the academic year, Summer Sessions, and Continuing Education to ensure database accuracy.
  • Employ EMS Campus for the automated scheduling of classrooms, including the importing and exporting of data to and from Banner, according to established procedures.
  • Stage and oversee the registration process, including student correspondence concerning dates, time tickets, and other relevant information.
  • Troubleshoot registration errors received by students.
  • Receive and set up special registrations for students, including independent study, internships, credit by exam, and study away.
  • Work closely with Hospitality Services to coordinate efficient classroom space utilization for non-academic events.
  • Serve on university committees including the EMS Technical Team.
  • Produce class schedule reports for the registrar and other university constituents.
  • Support the Office of the President in the execution of the PLU Commencement ceremony.
  • Perform other duties as assigned.

Required Qualifications:
  1. 3 years of related work experience. Education may substitute for some experience.
  2. High school diploma or GED.
  3. Finalist applicants must satisfactorily complete pre-employment background check.
Preferred Qualifications:
  • Bachelor’s degree.
  • Registrar’s office experience.
  • Scheduling experience.
