Brief Description
In the Office of the Registrar at Oregon State University is seeking a Catalog & Curriculum Coordinator. This position if a full-time (1.0 FTE), 12-month, fixed term professional faculty position. The Coordinator serves as the functional lead for the catalog and curriculum proposal systems that are administered using CourseLeaf CAT and CIM. This position will be responsible for facilitating the annual creation of the University’s Academic Catalog, as well as assisting departments and colleges with all program and course proposals that are sent through the curriculum management system CIM.

Position Duties:

40%: Establish, Manage and Maintain University’s Academic Catalog
  • Coordinates, administers, facilitates and executes the annual editing and creation of the University’s Academic Catalog. This entails providing clear communication to page editors on expectations and deadlines, administering catalog editing workshops, and other responsibilities, which require extraordinary customer service.
  • Supervises workflow creation process including the assignment of users and roles to specific pages within catalog using skilled decision-making.
  • Ensures individual catalog pages comply with University guidelines, policies and standards. This includes editing and style.
  • Acts as lead liaison to software vendor to ensure technical and functional tool specifications are met.
  • Acts as liaison with campus partners to maintain up-to-date and accurate information within Academic Catalog.
40%: Establish, Manage and Maintain University’s Curriculum Management System
  • Provides curriculum proposal process expertise and feedback to campus partners and internal/external stakeholders on functional and technical aspects of CIM, the curriculum proposal system. This includes reporting of outstanding workflows to ensure minimal administrative turnaround on processing of proposals.
  • Reviews curriculum proposals to ensure compliance adherence to University guidelines, policies and standards for program and course creations, edits and deactivations
  • Creation and management of workflows within new curriculum management system which leads to streamlined processing of digital curriculum proposals.
  • Acts as lead liaison to software vendor to ensure technical and functional tool specifications are met.
  • Ensures accuracy and assignment of users and roles to appropriate academic units within the curriculum inventory management system.
  • Responsible for accurate and timely coding of Program and Course information into University’s Student Information System, Banner.
  • Development and execution of functional end user training for both courses and programs.
  • Provide guidance to Curriculum Council and other committees on curriculum proposals, procedures and policy when invited by the Registrar, committee chairs or Academic Programs Office
15%: Miscellaneous
  • Troubleshoots and assists with questions regarding the coding of Programs, Courses, and other curriculum specific data elements within Banner.
  • Development and maintenance of the academic catalog and curriculum management systems website resources, for use by faculty and staff.
  • Oversight and maintenance of Academic Calendar for the entire university.
  • Creates and implements policies related to academic program logistics and approval timeframes.
5%: Other Duties
  • Collaborates with Academic Programs and Assessment, Financial Aid, Admissions, Graduate School and other essential partners to ensure that these tools are meeting the needs of the university.
  • Works on commencement duties as assigned.
  • Serves on various committees at OSU as needed.
Minimum/Required Qualifications:
  • Bachelor’s degree with a discipline or experience in Education, Assessment, Business, Computer Science, or related field.
  • Two (2) years of experience in a higher education setting.
  • Demonstrated experience with report preparation and presentation.
  • Demonstrated experience creating templates and forms.
  • Excellent written and spoken communication.
  • Excellent customer service skills and the ability to create collaborative professional relationships.
  • Ability to accurately organize and track information as well as multitask.
  • Demonstrated ability to manage complex projects.
  • Demonstrated experience interfacing with new educational, curricular, assessment, evaluation or data related software and technologies.
  • A demonstrable commitment to promoting and enhancing diversity.
  • This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
Preferred Qualifications:
  • Master’s degree with a discipline or experience in Education, Assessment, Business, Computer Science, or related field.
  • Experience with Ellucian Banner or other Student Information Systems, Excel, and other data management systems.
  • Experience in website design, creating surveys and using other marketing tools, such as Drupal, MailChimp, Qualtrics.
  • Experience with curriculum management software.

Starting salary within the salary range will be commensurate with skills, education, and experience.
