Job Details
This position is designed for the protection of the institution’s degree programs; providing confirmation that all institutional degree requirements are met in accordance with institutional, state and board certifications and policies.  This position also has the responsibility of managing a smooth, effective and efficient degree audit process through which students may track their degree progress along with advisors to promote their timely graduation.  The Associate Registrar serves as the office’s representative on issues related to Maryland residence status.  Assists the Registrar on issues of policy, planning, and goal setting; recommends procedural adjustments based on continuous environmental scanning.
Responsibilities:
  • Review academic advisement reports at regular levels for Fall/Intersession/Spring/Summer graduates;
  • Work collaboratively with personnel at the University System of Maryland at Hagerstown campus to assist students;
  • Review residency petitions and determine residency status for all continuing undergraduate and graduate students;
  • Review/approve course substitutions, transfer course requests and resolve problems;
  • Write correspondence to students, parents, faculty and administrative staff;
  • Track all students who wish to “walk” at graduation and collect all pertinent documentation;
  • Serve on Academic Standards, University Diversity, Equity and Inclusion Committee, Commencement, International Education Council, Judicial Board, General Education Program Review, Excellence on Academic Advising, Honorary Degree Review Committee and other committees;
  • Meet with students, parents and guardians regarding student progress to degree issues and concern
  • Other duties as assigned.
 
Minimum Qualifications:  Master’s degree and at least five years’ experience in an office of the registrar with supervisory and progressively complex responsibilities.  Knowledge of and experience working with PeopleSoft or a similar ERP designed for higher education.  Experience applying academic policies and program requirements to evaluate student degree programs. This position requires an individual to have an appreciation of the challenges faced by a diverse student population approaching their degree programs from a variety of perspectives and backgrounds.
 
Preferred Qualifications:  Ability to work collaboratively with students, faculty and staff in a student-centered and diverse community.  Demonstrated data and analytical skills. Strong oral and written communication skills.
