The Assistant Registrar for Transfer and Evaluation must be flexible in dealing with changes to policies, procedures, organizational structure, and academic issues in general. As a member of the Registrar’s leadership team, the Assistant Registrar for Transfer and Evaluation advises the Associate Registrar for Transfer and Articulation and the University Registrar on procedures in their area of responsibility, making recommendations and providing assessment of impact.

The Assistant Registrar for Transfer and Evaluation facilitates the smooth transfer credit evaluation of new first-year and transfer students and continuing students to LMU. As the Assistant Registrar for Transfer and Evaluation, you will lead the Transfer and Evaluation Team and be responsible for providing the best possible service to students, faculty, and staff, in support of this effort. You will be responsible for training your team, maintaining standards of practice, and fostering an inclusive, positive working environment. The Assistant Registrar for Transfer and Evaluation must be flexible in dealing with changes to policies, procedures, organizational structure, and academic issues in general. As a member of the Registrar’s leadership team, the Assistant Registrar for Transfer and Evaluation advises the Associate Registrar for Transfer and Articulation and the University Registrar on procedures in their area of responsibility, making recommendations and providing assessment of impact.

Position Specific Responsibilities/Accountabilities: 

  • Plan, organize, and manage the workflow of the Academic Records Specialists on the Transfer and Evaluation team.  

  • Train staff, oversee workload assignments, and monitor output for transfer-related positions.  

  • With the assistance of the Associate Registrar for Transfer and Articulation, interpret transfer credit policies, communicate policies and procedures to staff, and recommend changes in procedures and practices. 

  • Develop and maintain standard operating procedures related to transfer functions; review and update annually.  

  • Analyze accuracy of transfer information before adding data to students’ permanent records.

  • Uphold university policy of confidentiality of student records and other provisions of the Family Educational Rights & Privacy Act (FERPA).  

  • Process work promptly and efficiently, in accordance with the office and University time requirements.  

  • Maintain a timely flow of accurate data on student-athletic programs. Prepare and certify NCAA and LMU athletic eligibility rosters.   

  • Attend and participate in NCAA Compliance and transfer-relevant conferences as necessary. 

  • Performs other related duties as assigned.

Required Qualifications: 

  • Typically, a bachelor’s degree or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes. 

  • Three years of transfer or related work experience. Experience managing others is preferred. 

  • Ability to creatively and logically solve problems and multi-task effectively.  

  • Excellent written and verbal communication skills.  

  • Ability to interact and partner with all levels of personnel and diverse populations and demonstrate tact and sensitivity

  • Exceptional attention to detail and accuracy.  

  • Strong analytical skills.  

  • Proficiency with technology. 

  • Strong organizational skills with the ability to simultaneously manage multiple projects in a fast-paced environment while consistently meeting deadlines.  

  • Demonstrated ability to coordinate workflow management, carry out assignments without detailed instructions, train and explain policies and procedures, establish quality control guidelines. 

  • Demonstrated knowledge of admission policies, transfer credit evaluations and requirements.  

  • Ability to use knowledge to resolve issues and respond to complex requests.  

  • Experience researching academic information to determine applicable rules and regulations, preferred.  

  • Strongly ability to work effectively with supervisors, subordinates, peers, faculty, administrators, and staff.

  • Ability to follow all university policies, procedures, and guidelines including, but not limited to safety, civility, information security, and non-discrimination policies and procedures.   

  • Ability to contribute to a positive university experience for each and every student and assist in achieving the University’s mission.

Salary range

$76,600.00 - $99,600.00 Salary commensurate with education and experience.
